Staff Portal Quick Guide

Use this guide to log in, install the app on your phone, clock in/out, request time off, upload required documents, and track requests.

Login by phoneUse your registered mobile number and OTP. Install the appAdd it to your phone home screen. Clock in/outLocation permission is required. Request PTOSubmit and track approval status.

1. Login with your phone number

No username or password is needed. The portal uses your registered mobile number.

Open the portal.Go to staff.allwellpeds.com.
Enter your mobile number.Use the phone number already registered with AllWell Pediatrics.
Enter the 6-digit code.The code is sent by text message. Do not share it with anyone.
Changed or lost phone? Contact the Super Admin. Only the Super Admin can change your login phone number.

2. Install the staff app on your phone

Installing the app keeps it on your home screen so you do not need to type the website every day.

iPhone

  • Open staff.allwellpeds.com in Safari.
  • Tap the Share button.
  • Tap Add to Home Screen.
  • Name should show as AWP STAFF PORTAL.

Android

  • Open staff.allwellpeds.com in Chrome.
  • Tap the browser menu.
  • Tap Install app or Add to Home screen.
  • Open it from your phone home screen.
Best practice: Use the installed app for daily clock in/out. It is faster and works better for notifications.

3. Allow location and notifications

Location is required for clock in/out. Notifications help you receive approvals, reminders, and announcements.

If you deny location: Clock in/out will be disabled. To fix it, open phone or browser settings, allow location for staff.allwellpeds.com / AWP Staff Portal, then close and reopen the app.

4. Complete first-time setup

Before regular use, complete the required HR profile and paperwork.

Review your profile.Confirm name, personal email, address, emergency contact, and gender.
Complete W-4.Fill the online W-4 and electronically sign it.
Complete I-9 Section 1.Fill the employee section and electronically sign it.
Upload I-9 documents.Upload either one List A document, or one List B document plus one List C document.
Submit bank information.Enter routing number, account number twice, and electronically sign.
Important: Upload clear, readable documents. If HR rejects a document, correct it before continuing.

5. Clock in and clock out

Use the center Clock button on mobile or the Time Clock card on the home page.

Clock in when starting work.The app records your time, device, and verified location.
Clock out for lunch if required.If your schedule includes unpaid lunch, use clock out when leaving for lunch and clock in when returning.
Clock out when leaving work.Make sure your final punch is complete before leaving for the day.
Location rule: If location is blocked or you are outside the approved work location, the app may prevent clock in/out.

6. Fix missed punches or lunch breaks

If a punch is missing or the time is wrong, submit a correction request. It will not change payroll until approved by Admin or Practice Admin.

Edit an existing punch

  • Open Time.
  • Find the shift that already has a start/end punch.
  • Tap Request edit.
  • Correct the date, start time, or end time.
  • Enter the reason and submit for approval.

Missed shift punch

  • Open Time.
  • Choose Add missed shift.
  • Select date, start time, end time.
  • Enter the reason and submit.

Missed lunch/break

  • Open Time.
  • Find the work shift.
  • Choose Add break.
  • Enter break start and end time.
Approval required: Employees can request corrections, but they cannot directly change payroll punches. The change is applied only after Admin or Practice Admin approves it.
Example: If you worked 8:30 AM–5:30 PM but forgot lunch 12:00–1:00, submit Add break. After approval, the day becomes 8:30–12:00 and 1:00–5:30.

7. Request PTO or time off

Use Time off to request paid or unpaid leave. PTO balance depends on your employment status and policy.

Open Time off.Select the type of leave you need.
Choose dates and hours.Enter the requested date range and hours.
Submit for approval.Your request stays pending until Admin or Practice Admin reviews it.
Track the status.Open My requests to see pending, approved, or rejected requests.
Part-time employees: Part-time status may not include PTO or benefits unless HR has assigned a custom policy.

8. Update your profile

Keep your personal information accurate for HR and payroll records.

Phone number changes: Your login phone cannot be changed by you. Contact the Super Admin.

9. Track request status

My requests is your history page for PTO, missed punches, break corrections, profile updates, and approvals.

Status meanings

  • Pending: waiting for review.
  • Approved: accepted and applied.
  • Rejected: not accepted; read the note.

What to check

  • Date and time submitted.
  • Admin decision and note.
  • Whether corrected hours appear in Time.

10. If something does not work

Most issues are permission, phone, or browser cache related.

Location blocked?Allow location in phone/browser settings and reopen the app.
Did not receive OTP?Confirm your registered mobile number with HR/Admin.
Old screen showing?Close and reopen the app. If needed, refresh the browser version once.
Wrong data?Send a correction request or contact HR/Admin before payroll closes.
